Our process: from inquiry to project closeout
A 7-step walkthrough of how a Skilled Safety Management engagement runs: what you send us, what we send you, the timing, the cadence, and the closeout deliverables.
Project intake
Day 0. Send us the DOB job filing, project address, and key drawings. We confirm the credentials your project requires within an hour.
Fixed-fee proposal
Day 0–1. Within 24 hours of intake we send a fixed-fee proposal: scope, hours, rate, manager assignment plan, mobilization timeline.
Manager assignment
Day 1–2. You receive the assigned manager's license number, resume, and insurance documentation in writing, before contract signing.
Contract + COI
Day 2–3. Contract executed. Certificate of Insurance issued within 24 hours of request, with project-specific additional-insured language.
Mobilization
Day 2–7. Manager visits the site, reviews the approved Site Safety Plan, meets the GC superintendent, and confirms day-one logistics.
Daily on-site coverage
Ongoing. Continuous SSM/CSM/FSM presence aligned to your active hours. Logbook delivered weekly. DOB / FDNY support included. 24/7 active-emergency line.
Project closeout
End-of-project. Final logbook delivered. SSM signs off on remaining DOB requirements. Final invoice issued. Closeout safety report (if required) included.
Post-closeout
References available for future projects. Documentation retained for litigation defense and insurance underwriting if needed.
What you'll receive throughout the project
- Pre-mobilization: manager license number, resume, COI, contract, project plan
- Daily: SSM logbook entries (available on request)
- Weekly: full logbook copy delivered to project leadership (weekly summary available on request)
- Monthly: project safety report with trends, near-miss summary, credential status
- On request: COI updates, license documentation, incident reports, regulatory correspondence
- Closeout: final logbook, regulatory closeout, references for the project team
Communication cadence
- 24/7: phone line for active-project emergencies (DOB visits, stop work orders, incidents)
- Daily: SSM communication with the GC superintendent on site
- Weekly: project meeting attendance and logbook delivery
- Monthly: project safety report and account review
Invoicing cadence
- Weekly or biweekly: your choice, with detailed time sheets and SSM logbook attached
- Net 30 standard. Net 15 or weekly available on request.
- No surprise charges: fixed-fee proposal covers the scope. Scope changes go in writing before they take effect.
